Terms of Service

Last updated October 1, 2026

These terms are the agreement between you and Track Our Projects (“we”, “us”) for using the Track Our Projects website and app (the “service”). By creating an account or using the service, you agree to them. If you're signing up for an organization, you're agreeing on its behalf and confirm you're allowed to.

The service

Track Our Projects lets you log time against projects, write weekly status reports, and produce invoices from the hours you log. We may improve or change features over time; if we remove something you rely on, we'll tell you ahead of time where we reasonably can.

Accounts

  • Give accurate information and keep your password private. Turn on two-factor sign-in if you can (it's required for administrators).
  • You're responsible for what happens under your account. Tell us right away at support@trackourprojects.com if you think someone else has used it.
  • An organization's administrators decide who belongs to it, can see its members' time, reports and invoices, and are responsible for the people they invite.
  • You must be at least 16 to use the service.

Your data

You own the information you put into the service. You give us permission to store and process it only as needed to run the service for you. Our Privacy Policy explains what we collect and how we handle it. An organization's administrators can download everything stored for it at any time from Settings → Organization.

Acceptable use

Don't use the service to break the law, to store content you have no right to, to try to get into accounts or data that aren't yours, to interfere with the service or other customers, or to send spam (for example through teammate invitations). We may suspend accounts that do.

Free trial, plans and billing

  • Free trial. New organizations get a 14-day free trial with no card required. When it ends, the organization becomes read-only until a plan is chosen: everyone can still sign in and see their data, but nothing new can be added or changed.
  • Plans. Current plans and prices are listed on our home page. Each plan has a maximum number of users. Prices are in US dollars and don't include any taxes that may apply.
  • Payment. Plans are paid in advance, monthly or yearly, by card through our payment processor, Stripe. We never see or store your full card number. If you choose a plan during your trial, your first charge happens when the trial ends (or right away, if less than two days of it are left).
  • Renewal. Plans renew automatically at the end of each period until cancelled.
  • Paying team members' invoices. If your organization uses it, a reviewed invoice can be paid from the organization's US bank account to the team member's bank account through Stripe. The organization pays the invoice amount plus a processing fee shown before paying (0.8%, at most $5); the team member receives the invoice amount. Bank transfers usually take a few business days and can fail, for example for insufficient funds. The payment is between the organization and the team member: we don't hold the money, and we aren't a party to their agreement about the work. Payment processing services for team members receiving payments are provided by Stripe and are subject to the Stripe Connected Account Agreement, which includes the Stripe Terms of Service (together, the “Stripe Services Agreement”). By setting up payouts, you agree to the Stripe Services Agreement, as it may be modified by Stripe from time to time, and you authorize us to share information about you and your payouts with Stripe.
  • Changing plans. If you move to a different plan, the difference for the rest of the current period is charged (or credited) right away.
  • Failed payments. If a renewal payment fails and isn't fixed, the organization becomes read-only until it is.
  • Price changes. If we change a price, we'll tell you by email at least 30 days before it applies to you, and it will take effect at your next renewal.

Cancellation and refunds

  • You can cancel at any time from the Billing page (“Manage billing”). Cancellation takes effect at the end of the period you've already paid for, and you keep full access until then. You won't be charged again.
  • Payments are non-refundable, including for partly used periods, except where the law requires a refund. If you think you were charged by mistake, email us at support@trackourprojects.com and we'll look into it.

Closing your account

An organization's administrator can close the organization at any time from Organization Settings. Closing it cancels any subscription immediately, signs everyone out, and permanently deletes the organization's data 30 days later (email us before then if you change your mind). Download an export first if you want to keep a copy. We may suspend or close accounts that break these terms or go unpaid, and will tell you by email where we reasonably can.

Availability and changes

We work to keep the service running and your data backed up, but we can't promise it will always be available or error-free, and planned maintenance may occasionally interrupt it.

Disclaimers and limitation of liability

The service is provided “as is” and “as available”, without warranties of any kind, to the extent the law allows. You're responsible for checking invoices and reports before relying on or sending them. To the extent the law allows, we aren't liable for indirect or consequential losses (such as lost profits or lost data), and our total liability for any claim is limited to the amount you paid us for the service in the 12 months before the claim.

Changes to these terms

We may update these terms. If a change is significant, we'll email organization administrators at least 30 days before it takes effect. Continuing to use the service after that means you accept the updated terms.
